Privacy notice

Last updated: 2 November 2026

This notice explains what personal information Tees Community Forest collects when you use this website or get in touch with us, how we use it, and your rights. We only collect what we need, and we never sell your information.

Who we are

Tees Community Forest is part of England’s Community Forests and is hosted by the Community Forest Trust, a registered charity (no. 1072706) and company registered in England and Wales (no. 03598556). Its registered office is The Plaza, 100 Old Hall Street, Liverpool L3 9QJ.

The Community Forest Trust is the data controller for the information described in this notice, which means it is responsible for looking after it.

If you have any questions about your information, email us at enquiries@teescommunityforest.org.uk.

What we collect

When you use the enquiry form on our Contact page, we collect:

  • your name and email address
  • your phone number, if you choose to give it
  • whether you are a landowner or farmer, school, business, community group or other
  • where your land or site is (for example a postcode, grid reference or village) and roughly how big it is
  • what you are interested in, and anything you tell us in your message

If you email or phone us directly, or go on to work with us on a planting project, we keep the details you give us in the same way.

How we use your information

  • to reply to your enquiry and talk to you about tree planting, funding and support
  • to check whether your land is in our area, and to match landowners with the most appropriate funding package or provider for planting trees on their land
  • if you go ahead, to plan and deliver your project with you and our partners
  • to help with statutory reports to government bodies such as Defra about the planting we fund and deliver

We will not add you to a mailing list or send you marketing unless you ask us to.

Our lawful basis

We use your information because you have given your consent, by ticking the box on our enquiry form. You can withdraw your consent, or update your details, at any time by emailing enquiries@teescommunityforest.org.uk.

If you go on to work with us on a planting project, we also use your information because it is needed to enter into and carry out a project agreement with you, and to meet the reporting conditions of the public funding that pays for it.

Who we share it with

We do not sell or rent your information. We share it only where needed:

  • Partner organisations involved in your particular tree planting project, such as funders, delivery partners and contractors, so they can help deliver it.
  • Government bodies such as Defra and the Forestry Commission, for statutory reports and grant or regulatory processes linked to your project.
  • Service providers who help us run this website and our email: our website host, Microsoft (our email service), Google (the Gmail account the website uses to send enquiry emails to us) and WPForms (our contact form).
  • Others where the law requires it.

Some of our service providers may store information outside the UK, including in the United States. Where they do, they use the safeguards required by UK data protection law, such as the UK–US data bridge or approved contract terms.

How long we keep it

If you work with us on a planting project, we keep your details for as long as Tees Community Forest and our partners are working with you. Once the work is completed and the project agreement period has ended, we remove your information.

If your enquiry does not lead to a project, we delete your details two years after we last hear from you.

Our website tools, cookies and other services

  • Cookies: this website does not use advertising or tracking cookies, and we do not use analytics. Cookies are only set for our own staff when they log in to manage the site.
  • “Is your land in our area?” checker: if you search for a postcode, it is sent to the free postcodes.io service to find its location. Grid references and “Use my location” are worked out in your own browser. We do not see or store what you search for.
  • Maps and fonts: our maps load from OpenStreetMap and unpkg.com, and our fonts load from Google Fonts. These services receive your device’s IP address so they can send you the files, as with any website.
  • Learning games: the games on our Schools page run entirely in your browser and do not collect any information.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct or update anything that is wrong
  • ask us to delete your information
  • ask us to limit how we use it, or object to how we use it
  • withdraw your consent at any time

To use any of these rights, email enquiries@teescommunityforest.org.uk. It is free, and we will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
